This policy explains what personal data RouteClub collects, how we use it and the rights you have under UK GDPR.

1. Who we are

RouteClub is the data controller for personal data you share with us through the platform. You can contact us at hello@routeclub.co.uk.

2. What we collect

  • Account data — name, email, phone, password (hashed).
  • Booking data — address, postcode, service type, photos you upload, access notes.
  • Payment data — handled by our payment processor; we never store full card details.
  • Usage data — pages visited, device, IP address, cookies (see Cookie Policy).
  • Communications — emails, support messages, reviews.

3. How we use it

  • To create and manage your account and bookings.
  • To share necessary details (name, address, phone, access notes) with the assigned operator so they can complete the job.
  • To process payments and refunds.
  • To send service updates, booking confirmations and reminders.
  • To improve the platform and prevent fraud.
  • To send marketing emails — only if you've opted in, and you can unsubscribe at any time.

4. Legal bases

We rely on: contract (to deliver your booking), legitimate interests(running and improving the platform, preventing fraud), consent (marketing, optional cookies) and legal obligation (tax, accounting).

5. Sharing your data

  • Operators — the specific operator assigned to your booking.
  • Service providers — payment processor, hosting, email delivery, analytics. All bound by data processing agreements.
  • Authorities — where required by law.

We do not sell your personal data.

6. Retention

We keep booking records for up to 6 years to meet UK tax and accounting requirements. Marketing preferences are kept until you unsubscribe. Account data is deleted on request, subject to legal retention.

7. Your rights

You have the right to access, correct, delete, restrict or port your data, and to object to processing or withdraw consent. Email us to exercise any of these rights.

You can also complain to the Information Commissioner's Office (ICO) at ico.org.uk.

8. Security

We use industry-standard encryption in transit and at rest, role-based access controls and regular reviews. No system is perfectly secure, but we take protecting your data seriously.

9. International transfers

Some of our service providers are based outside the UK. Where this happens, we use approved safeguards such as Standard Contractual Clauses.

10. Children

The platform is not intended for anyone under 18.
